RollupSheets facilitate the Budgeting, Forecasting and Monthly Reporting Solution for BHP Billiton Manganese

About BHP Billiton Manganese

BHP Billiton Manganese operations produce a combination of ores, alloys and metal from sites in South Africa and Australia. With approximately 4500 employees across five operations, BHP Billiton Manganese (“Manganese”) is the world’s largest integrated producer of manganese units and is ranked number one in the world in seaborne supply of manganese ore and in the top three global producers of alloy.

The requirement

Manganese required a solution to replace its existing Corporate Performance Management (CPM) solution with the ability to perform budgeting, forecasting, planning, reporting and consolidations using a single integrated platform to meet the ever increasingly complex and fast paced changes in the reporting requirements of the group. The main challenges to be overcome were the complexity of calculations, reducing the monthly forecasting and reporting cycle from 5 to 3.5 days, reducing the run time on reports (approximately 3 hours) each time a change to inputs is made, flexibility to meet changing requirements and scalability.

The solution

Manganese engaged Infinitus Reporting, who scoped the requirement and implemented RollupSheets for monthly reporting, budgeting and forecasting, covering Income Statement, Balance Sheet, Cash Flow, Inter-company eliminations and other statistical information. The scoping and rollout was performed within very tight deadlines during October and November 2007 and included 38 reporting business units across South Africa, Australia and Singapore. The budget and current year data, sourced from SAP, was taken on. The solution included custom reports for Divisional Totals, Products, Marketing Stats, S&D and Production Information.

The result

Manganese received a full-cycle solution covering budgeting, forecasting, planning, reporting and monthly consolidation, delivered within a 6 week time frame, in project scope and budget and ready to go-live for November 2007 month end reporting! Within the first 2 months, the reporting timelines were reduced to 3.5 days, with final reports available within a few minutes of the last business unit signing off and submitting their final monthly forecast. The solution has continued to evolve and grow to meet Manganese frequently changing and often urgent requirements, with the reporting time lines continually shrinking, to a point where all reports now take seconds to run from final forecast close-off.

The pay-off: Manganese received the BHP Billiton group award for most improved reporting during the financial year.

“The service and support received during and after the implementation has been outstanding and we compliment the team on their efforts. The project team’s ability to understand our requirements ensured the success of the implementation within very tight deadlines”.
Ismail Kaka (Financial Process Controller)
